General Training Writing Task 1 Sample 4 - You recently took a part-time job working for a local company

IELTS Letter Writing / GT Writing Task 1:

You should spend about 20 minutes on this task.

You recently took a part-time job working for a local company. After a few weeks, you realised there were some problems with the job.

Write a letter to the manager of the company. In your letter

explain why you took the job.
describe the problems that you experienced.
suggest what could be done about them.

Write at least 150 words.

Model Answer 1:

Dear Mr Chen,
My name is Rona Lyn Olivar. I am one of your part-time receptionists in your Brighthand hotel for 2 weeks now. I am writing to you today because of the two problems I have encountered in the reception area that you are not aware of.

Firstly, duty staffs at night shift are always inside of the hotel's quarters sleeping. Only I and Lindsay who is also new in the area are working at night time. Even if we knock them at their door when there were many guests arrived on Saturday evening, they still did not mind us. This happens 3 times already and I think you must know it.

Secondly, the food items that are supposed to be cooked for the hotel customers were eaten by some of the head staffs. One of the breakfast meals that were not eaten by one of the guests were brought to the staff quarters and ate by the head. I believe this is against the rule of the company.

I think they should be reprimanded so that they should learn their lesson and I look forward to your response regarding this matter.
Yours sincerely,

Model Answer 2:

Dear Mr Adison,

I am a part-time call centre operator at your company, started working about 4 weeks ago. I am writing to indicate the problem I encountered during my work.

Actually, I decided to take the position of a telesales specialist because consider myself able to develop a career in sales due to my skill of establishing good contact with people and make them trust me. However, I realised there are some obstacles on a way to success.

The problems started 3 weeks ago when the system administrator updated my software. At the time of a call I was querying a customer for his personal data then suddenly my computer reloaded and this person’s profile was lost. This situation repeated in the future for several times. I asked the system administrator to solve this problem, but he told me this is solely my fault and my computer skills are below required to use this program.

I am assured the complete situation makes company profits lower. I believe that software managing specialist could fix the problem if the initiative would be taken by a senior manager of your rank.

Sincerely yours,

Ben Flip

Model Answer 3:

Dear Mr Patrick,

I am writing to raise a concern about the problems faced by me on the job at your company. I am Riya, have joined your company as a computer operator six weeks back as a part-timer to fund my internship in software programming course.

I was told at the time of joining that the working hours would be from 5 to 8 pm so I agreed to do this job as it fits well into my daily schedule. However, from the past 2 weeks, customer calls have increased a lot during post-lunch hours due to the upcoming events in the city. Unfortunately, my college ends at 4 pm and it’s impossible for me to reach 2 hours early daily. Although I had managed to work extra time until the last week by missing few lectures at college, it seems unmanageable in the future as this will affect my studies.

Thus, I would appreciate if you could allow an addition of one more person in the team until the end of the events in the city. It will also be very helpful if we can devise a new organised way to handle high customer calls. We can discuss this new process tomorrow at your convenient time.

Looking forward to meeting you soon.

Yours sincerely,

Model Answer 4:

Dear Mr James,

I'm writing to thank again for giving me the opportunity to work in your company and ask you to help me in some problems which I have had over last several weeks with my job.

As you know I have been working as a cost-benefit analyst in the project management office from 20th September three days per week. Recently our office head has wanted me to work four days per week which is against our work contract. However; I would like to work in your company whole of the week as it causes me to earn more money and I would find more valuable experience, It would be conflicting with my education program as I need to go to my courses on Wednesdays and Fridays.

Also, the office head had promised me to allocate a desktop computer for analysing project data which is still not performed. In fact, I am using my own laptop to work with the Primavera Software and I am always worried about losing project data if some technical problems come to existence.

I hope that these not make you any difficulties and you would allow me to work according to our primary work contract and would provide a desktop computer.

I look forward to hearing from you in the near future.

Yours faithfully

Model Answer 5:

Dear Sir/ Madam,

With due respect, I would like to inform you that, I have joined in your company as a part-time employee a few weeks ago. I had to take the job due to internship program which is required to complete my university study.

However, during this short span of my work I have noticed some difficulties with the job of an analyst. Since my job is to help the analysts for collecting different data from various sources as per their requirement, I had to collect same data many times. The main reason behind this redundant work is the lack of MIS reporting software and database. There are lots of benefits that can be taken by using that type of software. It helps to archive data in a systematic way which can be retrieved later easily. This not only helps to reduce redundancy of work but increases the efficiency of analysts. Though purchasing the MIS reporting software is a little bit costly, it will help you to spend more time for analysis and generate quality analytical report also.

Therefore, I request you to invest for purchasing an MIS software which will be a bit costly for you in the short the run but you will have several times of return in future.

Yours faithfully,

Safayet Ullah

Model Answer 6:

Dear Mr  Lim,

I’m writing this letter to raise my concern regarding some of the problems that I encountered during my work in your company. I have been working with your company for almost 5 weeks already as a call centre agent and I’m doing it on a part-time basis because I have to attend also my classes on my master’s degree course. I took the job as I believed it will enhance my communication and public speaking skill and increase my confidence in socialising with other people in an addendum to supporting my studies.

During the first week, everything went fine. But from my second week, I started facing some unavoidable issues. My computer software automatically shuts down as I communicate with a customer. It happened almost every day. I’ve already raised this problem to the technician in charge of the computer and software problems. They’ve tried to fix it but it keeps on happening. What I hate about it is that the guy is blaming me for not having the enough skills on computers and I’m the one liable for it!!! Also, I was supposed to be dropped off every day but no car is picking me up at the end of the office.

I’m confident enough that the computer software problem is not at all my fault. I’m concern about it because my overall performance has already been affected by it. It would be easier if a new computer is provided to me or make sure the fix is done properly. Also please try to arrange my transportation, at least to drop me off at the end of the office.

I’m hoping for your immediate response on this matter.

Respectfully Yours,
Christine Hazel Cac.

Sample Answer 7:

The manager.

Dear Sir,

I am very glad to join your company as a part-time employee. I joined here three months ago and I was honoured that you considered me as a deserving employee in your reputed company. I am writing this letter to raise your concern on my job contract.

I was appointed at your company as a part-time worker in the post of Financial Assistant. I was very much delighted to get the offer from you as this was a very excellent company to work with and I was offered a high salary. The promise for reaching upper was also another reason I joined here.

We have contracted for this job as a part-time employee for 9.00 pm to 6.00 pm. But the head of my department always forces me to come before 7 o'clock in the morning and this has become quite impossible for me. I have to drop off my son at his school at 7.30 am and there is no one in my family who can do that. I am not sure why the head of the department is forcing me to start office before 7.00 am while he never shows up before 9.00 am?

I am also shocked to face the unforeseeable trouble of working till 9.00 pm to finish my scheduled task. Sometimes I have to stay office till late hours while the whole office is deserted.

I really feel very nervous to tell the department head not to force me to come office before 7.00 am. That is why I am notifying you about this problem. I guess I should be given as much opportunity as it is offered to other employees. I can fully devote myself to work harder but something unusual and unreasonable should not be imposed on me. I want your intervene to have this problem solved.

I will be waiting to get a positive response from you.

Model Answer 8:

Dear Sir,

I have been a part-time fitness instructor in your gym for four months. I was pleased to be offered the job, not only because I need to earn some extra money to cover my living expenses but also because I need some experience in fitness training.

It has been obvious to me that people often need help in using the gym equipment. However, it seems that the other trainers have not been encouraged to offer assistance to club members. I offer as much as I can, but this means that I am constantly in demand and therefore, working harder than anyone else in the gym. This situation seems rather unfair.

While I realise that members receive initial gym instruction, I feel that they also need ongoing help with the equipment. Could I suggest that a letter is sent to trainers promoting this? After all, personal attention of this kind makes people feel valued and may result in increased membership.

Yours faithfully,

Donald Green.

Dear Manager,

I am writing to express my concerns about my job at your company. As you know, I am working here as a part-timer and my main duty is to maintain the organisation's computer system. I still remember how excited I was when I was offered this job opportunity last month because I was very eager to apply my college knowledge in a practical field.

I started working from the beginning of this month and three weeks has already passed. Two issues I faced so far and those are troubling me. I would like to bring these issues to your attention. First, I found it was not convenient for me to report to the company office by 12: 30 pm every Tuesday. I have to attend a lecture on every Tuesday morning from 10.00 am to 12.00 am. Afterwards, I have only half an hour to rush into the office from the university, which makes me very stressful. Thus, I wonder if it is possible for me to go to work half an hour later on Tuesday. Second, I was asked to do programming with the language C++ at the company. However, I am not familiar with C++, and that is why my job progress is very slow. Instead, I am very good at the Java programming language and believe that the underlying task can be done equally well with Java. Therefore, I would like to request the change of programming language from C++ to Java.

I hope you can understand my situation and give the above requests a favourable consideration. I am looking forward to hearing from you soon.

Dear Mr Basu,

I am Biwas Bhattarai and have been working in your company as a part-time Trainee Hygiene Supervisor from the last September. I would like to thank the entire team who believed in me and gave me the opportunity to work here, learn and contribute. However, there are some issues which I think I should bring to your attention.

I chose the job of the Hygiene Supervisor as my academic study and interest exactly matched the requirements of the job. Also, I am more than happy to work on a job that concerns about public health safety. I am fond of working in a team as well. These all parameters brought me to this job.

While working, I discovered that there are some weaknesses and issues in the company and improving those can make a better productivity of the company. As a newly appointed staff, I experienced that some old employees have an invisible prejudice on following instructions given by supervisors and this is hampering the overall performance of the team. More importantly, few staffs do not have enough awareness of basic hygiene practices while preparing food. Although, our company has provided proper SOPs but, that are not being followed properly in all the cases.

I would like to draw your attention to these issues and would suggest to organize hygiene awareness training for the newly appointed employees. Strictly follow-up on company policy and timely reminders through on-the-job training can be a great initiative to address this issue. Supervisors can be instructed to monitor daily hygiene practices and to report if any violation is noticed. There should be rewards and consequences on this matter.
I would appreciate your effort on these issues.

Yours sincerely,

Mr David, the respected Manage;

I am writing this letter to address some problems that have surrounded me in the office.

I've accepted your part time internship vacancy, which completely matched my field of study in the university. I was so delighted to have been offered this position and started working hard in response. As I mentioned in my resume, I am a student and it obviously makes me be punctual in order to reach my goal both in the university and the job environment.

The first two weeks of my job in your company was quite fabulous until some unavoidable situation arrived! The team I have been working have decided to take the day off on Monday and work on Sunday. This contradicts my schedule. I have notified the team lead and have not heard anything from him. Apart from that, I am being assigned some workloads that are completely irrelevant to my job position like bulk printing or meeting a client outside. Even though I cordially infomed the teamlead, he is completely noncooperative. Finally, the office car has stopped picking me up from my home and taking a taxi everyday is not economical for me.

I would really appreciate if you can consider my problems as serious matters and take an immediate action to prevent further ramifications.

Yours truly,

Mahdi Akbary.

IELTS GT Writing Task 1:
You recently took a part-time job working for a local company. After a few weeks, you realised there were some problems with the job.

Write a letter to the manager of the company.

Dear Mr James,

Greetings of the Day! My name is Keshav Grover and I have joined here in Hyundai six weeks ago in Customer Service section as a part-timer. I am writing you today to raise a concern I have during my work on 5pm to 8 pm.

As you know, we have enormous customer complaints due to the festival season and we have to resolve these grievances within 2 hours of a customer complaint. I would like to inform you that we are unable to solve customer concerns within the given target of 2 hours due to heavy workloads. It seems unmanageable.

I would be really grateful if you add another person in our department to support the exceedingly higher customer complaints.

Hope to hear from you soon.
Yours sincerely,
Keshav Grover

Dear Mr Ali,
I recently took a job in your company as an Assistant Finance Manager as your company. Since the job timing and requirements suited my daily schedule and interests, I thought working in your company would increase the value of my resume and my work experience for future employers. Unfortunately, I am facing quite a few difficulties at work that I would like to bring to your attention.

Firstly, the company took away the laptop that was given to me for office work and I have been told to bring my own workstation. This is not possible as I do not have any spare personal laptop and even if I did, it would be against the company's rule to work with sensitive data on an employee's personal computer.
Secondly, the late shift staff that I work with is not provided with food and coffee. It will save a lot of time for finance team if they could get food within the office. This could also improve work continuity as the staff won't have to leave the cubicle for one to two hours.

I am sure that these changes will not only benefit me and my team but also help the organisation in a long run.

Yours faithfully
Syed Taimur Shah.

Dear Sir/Madam,
My name is Subrahmanyam and I am a native of Phoenix, Arizona. I recently joined as a part-time Software Developer in May Saverde located in central Phoenix. I am a college student studying computer science at Arizona State University and will be graduating next year. To fund my college fee and cover living expenses, I joined in this job 5 weeks back.

I am getting paid well in this job but I am facing a lot of work pressure from my colleagues. As they know I am a part timer, they are forcing me to do all of their works. They are doing micro management and telling me that they can fire me if they want.

Our manager is very kind to me but her office is located in another location and that’s why she has not noticed those issues. It will be much appreciated if she can come to our work place more often so individual employees can share their work experience with her. If she can provide her mobile number to reach her that will be really helpful.

Thanks in advance.

Dear Sir,

This is to bring to your attention that, I am a part time teleseller in your organisation. I have been working here since 1st of September, 2015 in the evening shift.

While joining for this job I was told and also agreement signed for the evening 5 to 8 shift but for last couple of days our shift supervisor is insisting me to work for another 2 hours which is beyond my contract and also I am not in a position to meet the timing as regularly I have to leave for my office by 6 in the morning. So, If I work late night then that may affect my morning schedule.

I, therefore, request your good self to look into the matter and do the needful, if at all you need somebody to work until 10.00 pm then I would like to request you to kindly arrange for another person for extra two hours. We can discuss the matter tomorrow at your convenient during my duty hours here.

Looking forward to meet you soon.

Yours faithfully

Dear Mr Lim,
I would like to thank you for giving me an opportunity to do a part-time job in your workshop. The money I earned from this work helps me to pursue my university course.

I am writing you because I want to inform you about some problems I had observed into your motor shop. In my 3 weeks stay here I have observed that most of your mechanics arrived late at work and they leave the shop very early in the afternoon. That is the main reason why we cannot keep our commitments to our costumers to deliver their unit on time. They are already complaining, because they cannot get their car on the day we have promised to them.

I think you should meet them and remind them of their duty and responsibilities to come to work on time and to finish the job on time. Otherwise, we will lose the trust of our clients and they might look for another service provider.

Respectfully yours,

To: Mr Alavi
The human resource manager of ABC company.

I’m Nima M, your one of the newest employees. I have been working since 4 weeks in your company in project management section as a part-timer. This job was very good for me during this time but I’m writing to discuss some problems regarding this job. Before that, I would like to give details about my responsibilities in the work environment.

I have been working for 3 years in this position in 2 other renowned companies and I chose this job in your company to take further my career prospects. As you know I had to collect and analyse reports of projects from all teams but some of the employees in marketing department don’t like this reporting procedure and they denied reporting to me so that I can analyse their outputs. I tried several times to convince these employees to report me, but unfortunately, I can’t cope to solve this problem. I think if you set meeting with my section with other parts of the company especially marketing team to discuss about this event, it would bring out a solution with your generosity and tact.

I’m waiting to hear from you about your feedback and suggestions to solve this matter.

Your sincerely,
Nima M
