IELTS Letter Writing / GT Writing Task 1:

You should spend about 20 minutes on this task.

You cannot go to a company where you got an offer. Write a letter to the HR supervisor to:

  • explain the reason why you decline the offer
  • express your gratitude
  • explain why you like your current job very much

Write at least 150 words.

You do NOT need to write any address.

Begin your letter as follows:

Model Answer 1:

Dear Sir or Madam,

I am writing to inform you that I have recently been offered the Landscape Designer position in your company and I am very grateful for the opportunity. But I regret to say that I cannot accept the offer right now.

I have known your company for decades and I have heard about the great projects that your company has recently completed. I appreciate your time on checking my portfolio online and I was flattered when I received your invitation. Honestly, it took me one week to weigh in my option.    

At the end of the day, I decided to decline the offer because I am happy with my achievements and role in my current company. Besides, I also have a few large on-going projects that I want to finish first to enhance my portfolio before I decide to explore other job opportunities.

I hope that in the future I will have a chance to work and be a part of the success of your company. Thank you once again.

During my interview, I was impressed by the interviewers and their friendly yet professional attitude. Not to mention, your company offers a great working environment and prioritises employee growth. I have a friend who works in your company highly speaks of your management and office environment. However, the remuneration package that was suggested in the final offer letter is way less than my current salary. My employer offers several other benefits besides the salary and I see a great career growth here.   

I am thankful to you for the opportunity you have offered me. However, considering my job satisfaction with the current employer and the reward package, I find no other way but to decline your offer. I wish every success of your company.

Although the offer was substantial, it was not enough to encourage me to sever the bonds with my current employer.

During my time at my present company, my superiors supported me tremendously and fostered my career. In short, they made me the employee I am today. I love my work here and would not leave them only for a slight salary increase.

There are a couple of reasons why I am declining this offer: one of them is the job location and the other is the proposed remuneration. I have to drop off my children at their schools daily and that is why commuting a long distance to reach my office is inconvenient for me. I find my current job more exciting and rewarding.

In my current job, I have a flexible timing which allows me to keep a balance between my personal and professional life. Also, I am due for a promotion this year and I am expecting a managerial role to come my way soon. The roles and responsibilities of this new position would be very challenging and a known team with whom I have been working for a long would be an advantage.

I would like to thank you again for the job offer but I would like to stay with my current organisation and I am humbly declining your offer. Wishing your superb team members all the best.

Dear Sir,

I am writing to express my immense gratitude for the job offer in your company and my sincere apologies for declining this offer. I would have loved to be a part of your organisation, which is one of the prominent names in the field of architecture and interior decoration, and I am sure working in your company would have helped in my career as well, but there are certain reasons for which I am declining this offer.

First, I did not get a substantial raise in my pay scale when I was offered the position in your company. Moreover, my company has offered me a raise in pay and a long due promotion. And, Secondly, the job role in your company would require me to reallocate to Indore. I recently got my 4-year-old son admitted to a nearby school, i.e. Cambridge International School and changing the school and place of residence would be a huge problem for me at this time and I am not looking forward to changing these two. Moreover, I am quite happy with my current employer and job responsibilities and would like to continue working here for few more years.

Also, allow me to mention that my interview experience in your company was really pleasant as it was planned perfectly. None of the candidates had to wait for long for their turn. I hope you will consider my resume in future if there is any opening matching to my profile and I apply for that.

No doubt it is an excellent letter writing but in the first paragraph, you can use "but there are certain reasons for which I am unable to accept this offer." as there will be no repetition of "declining this offer".

The writing is perfect, I believe it should not get less than 8 or 7.5. But what I feel in this writing is the first sentence, where you have mentioned "immense gratitude", because it is not suiting the requirement and the tone is getting changed after these words. Rest is beautifully described. Even I am trying to improve my writing as my test is due on 25th May-2017.

I am very thankful to you for considering me as a suitable candidate for the position of Assistant Manager - SAP at your esteemed organisation. Today I have received your offer letter along with salary details which are mutually agreed. But I am very sorry to state that I am declining your offer.

I have always wanted to work with an organisation as big and reputed as yours. And the job descriptions provided by you perfectly matched with my profile. My project head in my present organisation considered my name for the new upcoming project in SAP upgrade and they considered my name for the Team Lead position for this project. As an SAP MM consultant, it is very important for us to grab such project experience as this will add a feather to our career growth wings.

Hence I would request you to consider this letter as an official communication of declining your offer.
