Sample Answer:

Dear Sir/Madam,

I am Janak Senevirathne, writing to draw your attention to a problem in the car I hired from your company a few days ago. I rented the car from Phillip Car Rental company, City Center branch in Colombo on 24th February. I hired it for two months and paid one month's rent upfront. The cooling system of the car stopped working the day after I rented it and even after my complaint, it has not been sorted out.

I am a regular customer of Phillip Car Rental company - registered customer number CCR321. This time I took a Toyota Corolla car and during the time of hiring the car was working fine. However, on the next day, while travelling to the airport to drop off my uncle, I felt the air condition was not working properly and now it is completely dead. I have brought this issue to your office a week ago and the technical department representative promised me that mobile technician will fix the issue within 24 hours as per the rental agreement. Nevertheless, the issue is yet to be fixed.

According to the rental agreement, I am entitled to have a solution to this problem. I would be grateful if you could repair the air conditioning system of the car within next 24 hours or replace it with another one.

I look forward to hearing from you soon.

Yours faithfully,

Janak Senevirathne

Mentor team,
Before uploading such letters, I guess your team should review the contents, especially grammar. Let's say, the letter written by Afzal has many incorrect forms of grammar. Students refer this site for help. Such wrong letter will have an adverse effect on their writing pattern.

In case of format letters, you can write. Dear Sir / Madam,

But there is no need to ask for the person's health. This can be done more often in informal letters.
