Begin your letter as follows:
Dear Sir or Madam,
Sample Answer 1:
Dear Sir or Madam,
I have recently attended a business conference at your hotel 'Rosewood London', and regrettably misplaced some important documents in the room I stayed in. I am hoping that you would be kind enough to notify me once you have those documents.
I stayed in your hotel from 24th to 25th October in room 524. And I attended a conference at the Business Meeting Hall on 24th October. I departed the next day and just after I reached Manchester, I noticed that I have left those documents unattended in my hotel room, perhaps inside the drawer that was placed beside my bed. All of those documents are placed inside a blue folder with my name ‘Mike Buchanan’ written on top of it.
In particular, these documents are extremely important to me. They contain some confidential financial information about my company, a presentation and some notes that I took during the conference. Without those documents, I would be in great trouble. I need to submit a few of these papers to my company before the end of this month.
I would request you to ask your staff to conduct a thorough search in the room and then hold this folder in your possession. Please give me a call at 0161-508745124578 once you have it. I will arrange for someone to collect it for me or perhaps fly to London to receive it personally.
Thank you in advance for your kind help.
Yours faithfully,
Mike Buchanan
Model Answer 2:
Dear Sir or Madam,
I am writing this letter to inform you that I have left some important papers when I checked out of your hotel about a couple of days ago. I am hoping that you would be kind enough to send those papers to my address via the postal service.
I am Lucas Foster, and I stayed in room number 434 on the sixth floor of your hotel. I am assuming that I must have left the papers in one of the drawers of your TV desk in a hurry when I needed to attend an urgent meeting with some of my clients in the City Hall.
The documents that I left in your hotel room are utterly important because they contain all the important terms and conditions, which I agreed upon with two of our new partners to form a new business relationship. The problem is, I can not really remember all those terms and conditions, so I need to get those documents back urgently.
Therefore, I would like to request you to find those documents for me and mail them to me at your earliest convenience. Also, please do not forget to charge the mailing cost from my credit card that you already have on file.
Yours faithfully,
Lucas Foster
Write a letter to the manager of the hotel.
Dear Sir/Madam,
I am writing about some documents that I left in your hotel during my stay at your esteemed hotel “The Taj”.
I am “Sudesh Ved”, and my company chartered your conference room for 2nd and 3rd March. I stayed in room number 1604 and checked out on the 4th of March. Due to a tight schedule and hurry to catch the flight early in the morning, I left some important legal documents in the room where I stayed. As best as I can recollect my memory, I left them next on the bedside drawer in the room.
The papers that I have left include some vital documents about our organization and details about the future expansion and projection. On top of that, it also has the original copy of the presentation which I had prepared in the last 6 months. Misplacing them could be a setback for me and consequently, I may get a dismissal because of negligence. I am hoping and praying that the above-mentioned property has been found and kept with you in the Lost and Found Section in your reputed hotel.
Please note that my cell phone number is 7738190437, and I am available 24 hours a day. Please call me as soon as possible so that I can send somebody to pick up the stuff or I will be there on the first flight to receive it personally.
Thank you in advance,
Sudesh Ved
